This Privacy Policy explains how BookIQ ("BookIQ," "we," "us," or "our") collects, uses, and protects personal information in connection with our booking, messaging, calendar, and AI phone agent services (the "Service"), operated on behalf of our business clients ("Clients").
1. Information We Collect
When a Client's customer ("End User") books an appointment through the Service, we may collect:
- Name and phone number
- Appointment details (service requested, date/time, staff member)
- Appointment and visit history
- Voice interactions with the AI phone agent, where applicable, for the purpose of completing a booking
2. How We Use Information
We use this information solely to operate the Service on behalf of the relevant Client, including:
- Creating and managing appointments
- Sending SMS confirmations, reminders, and related notifications
- Syncing appointments to the Client's calendar
- Identifying opportunities to re-engage lapsed clients on the Client's behalf
We do not sell personal information, and we do not use End User data for any purpose beyond operating the Service for the Client through whom the data was collected.
3. SMS Communications
By providing a phone number through a booking flow, End Users consent to receive appointment-related SMS messages. Message frequency varies by appointment activity. Message and data rates may apply. End Users may reply STOP at any time to opt out of further messages, or HELP for assistance.
4. Third-Party Service Providers
To deliver the Service, we share limited data with infrastructure providers acting on our behalf, including:
- Twilio — for SMS delivery and the AI phone agent
- Google Calendar — for appointment scheduling and sync
- Cloud hosting and workflow-automation providers used to run the Service
These providers process data only as needed to deliver the Service and are not permitted to use it for their own purposes.
5. Data Retention
We retain appointment and contact data for as long as reasonably necessary to operate the Service for the relevant Client, or as required by law.
6. Data Security
We use reasonable technical and organizational measures to protect personal information, including restricting API credentials to server-side environments and using access-controlled cloud infrastructure.
7. Your Choices
End Users may opt out of SMS messaging at any time by replying STOP, or request removal of their data by contacting the Client they booked with, or by emailing us directly.
8. Children's Privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
